At NOKYO TOURIST CORPORATION (“we,” “our,” or “the Company”), we recognize that the proper protection of personal information is an important social responsibility and an essential element of maintaining the trust of our customers, business partners, and other stakeholders.
We are committed to protecting personal information in compliance with the Act on the Protection of Personal Information of Japan (“APPI”), other applicable laws and regulations, and our internal rules and procedures relating to the handling of personal information.
To ensure the appropriate protection and management of personal information, we have established this Personal Information Protection Policy, which all of our directors, officers, employees, and other personnel are required to understand and comply with.
1. Compliance with Laws and Regulations
We comply with the APPI, other applicable laws and regulations, relevant governmental guidelines, and other applicable standards relating to the protection of personal information.
2. Collection, Use, and Management of Personal Information
We collect personal information by lawful and fair means and use it only for specified and legitimate purposes.
We take appropriate organizational, physical, and technical security measures to prevent unauthorized access to, loss, destruction,
alteration, or leakage of personal information, and we continuously review and improve these measures as appropriate.
3. Appropriate Management of Personal Information
We maintain internal rules and procedures governing the proper handling of personal information and provide appropriate education and
training to our officers and employees to ensure compliance with this Policy.
In cases where we outsource the handling of personal information to a third party, we exercise appropriate supervision over the service
provider to ensure that personal information is handled securely and appropriately.
4. Respect for Individual Rights
We respect the rights of individuals regarding their personal information.
Upon receiving a request concerning personal information held by us, including requests for access, correction, addition, deletion,
suspension of use, erasure, or other rights provided under applicable laws, we will respond appropriately and without undue delay in
accordance with applicable laws and our internal procedures.
5. Continuous Improvement
We regularly review and improve our Personal Information Protection Management System to ensure the effective implementation and continuous enhancement of our personal information protection practices.

3. Purposes of Use of Personal Information
The purposes for which we collect and use personal information are described below:
(1) Personal Information Obtained Directly from Individuals in Writing
① Personal Information of Customers Applying for Travel
We use the personal information provided by customers when applying for travel for the purpose of communicating with them and arranging
the travel services they have requested, including transportation, accommodation, insurance, and other services provided by travel
suppliers. We also use such information to facilitate customers’ access to those services during their travels.
In addition, we may use customers’ personal information for the following purposes:
- To provide information about products, services, events, and promotional campaigns offered by the Company and our affiliated companies.
- To request customer opinions and feedback after the completion of a tour or travel program.
- To conduct customer satisfaction surveys and questionnaires.
- To develop, improve, and enhance our products and services.
- To provide special offers, benefits, and promotional services.
- To prepare statistical information that does not identify individual customers.
- To contact a customer’s emergency contact person in Japan should we determine that such contact is necessary due to illness, injury, or another emergency occurring during the trip.
② Personal Information of Job Applicants
We use the personal information of job applicants solely for recruitment and employment selection purposes.
③ Personal Information Collected Through the “Contact Us” Pages on Our Websites
We use personal information submitted through the “Contact Us” pages on our websites only to the extent necessary to respond to
inquiries and verify the details of such inquiries.
Such personal information is subject to requests regarding personal information, including requests for access, correction, addition,
deletion, suspension of use, erasure, and other rights described in Section 10, “Requests Regarding Personal Information.”
④ Personal Information Collected in Connection with the Agriculture and Welfare Collaboration Program
We use the personal information of job seekers participating in the Agriculture and Welfare Collaboration Program solely for recruitment
and employment selection purposes.
⑤ Personal Information Collected in Connection with the Agricultural Labor Support Program
We use personal information to contact customers in connection with the Agricultural Labor Support Program in the following
circumstances:
- Inquiries regarding the Agricultural Labor Support Program.
- Applications for registration as an agricultural volunteer.
- Surveys regarding the acceptance of agricultural support volunteers.
- Applications for online training programs.
⑥ Personal Information Collected in Connection with Our Insurance Agency Business
As an insurance agency, we collect and use the personal information entrusted to us by insurance companies only to the extent necessary
to perform insurance agency services.
Because we also operate a travel business and other related businesses, we may use such personal information to the extent necessary to
provide those services.
The specific purposes for which we use personal information are as follows:
- To provide travel services, insurance agency services, and other services operated by the Company, together with services incidental or related thereto.
- To provide non-life insurance products handled by the Company and services incidental or related thereto.
We will not use personal information for any purpose other than those described above.
If the purposes of use change, such changes will be made only where they are reasonably related to the original purposes. Any such
changes will be notified to customers in writing (including by electronic means) or announced on our website.
The purposes of use adopted by Kyoei Fire & Marine Insurance Co., Ltd., which entrusts us with insurance agency operations, are
available on its website.
(2) Personal Information Obtained by Means Other Than Directly from Individuals in Writing
① Personal Information of Participants Provided by Group Organizers or Administrative Offices
We use the participant information contained in participant lists and similar documents provided by tour organizers, group
representatives, or administrative offices for the purposes described in Section 3(1)①, “Personal Information of Customers Applying for
Travel.”
② Personal Information of Job Applicants Obtained Through Recruitment Websites
We use the personal information of job applicants obtained through recruitment websites solely for recruitment and employment selection
purposes.
③ Personal Information of Customers Who Contact or Apply Through Our Call Center
We use the personal information obtained through our call center for the following purposes:
- For the purposes described in Section 3(1)① or Section 3(1)③ of this Privacy Policy.
- To respond to customer inquiries and provide the requested information.
Please note that telephone conversations with our call center may be recorded to ensure the accuracy of communications, improve the quality of customer service, and facilitate appropriate responses to customer inquiries.
④ Personal Information of Customers Using Our Mail-Order Service “Satokuru”
In accordance with the Act on the Protection of Personal Information (Act No. 57 of May 30, 2003), we use personal information only to
the extent necessary to achieve the following purposes:
- To arrange the shipment of products and provide after-sales services relating to our products and services.
- To provide information regarding our products, services, events, promotional campaigns, and other marketing activities by email, telephone, or printed materials.
- To conduct customer satisfaction surveys and questionnaires for the purpose of improving our products and services.
- To respond to customer inquiries, requests, comments, and opinions regarding our mail-order services.
4. Handling of Sensitive Personal Information
We do not collect, use, or transfer to third parties any Sensitive Personal Information, including Special Care-Required Personal
Information as defined under the Act on the Protection of Personal Information (APPI), except where permitted or required by applicable
laws and regulations.
For the purposes of this Privacy Policy, “Sensitive Personal Information” includes information relating to an individual’s race, creed,
social status, medical history, criminal record, and history of being a victim of a crime, as well as information concerning labor union
membership, family background, registered domicile, current health care status, and sexual activity (excluding information that already
constitutes Special Care-Required Personal Information).
We may collect, use, or transfer such information to third parties only in the following circumstances:
- Where required or permitted by applicable laws and regulations.
- Where necessary to protect the life, body, or property of an individual.
- Where particularly necessary for the improvement of public health or the promotion of the sound development of children.
- Where necessary to cooperate with a national or local government authority, or a person entrusted by such authority, in performing duties prescribed by laws or regulations.
- Where necessary for insurance premium collection or other insurance-related administrative procedures, including the handling of Sensitive Personal Information relating to an employee’s political, religious, or labor union affiliations.
- Where necessary for the settlement of insurance claims or other insurance-related procedures involving inheritance.
- Where necessary for the proper operation of our insurance agency business and where the individual has provided prior consent.
5. Handling of Individual Numbers (My Number) and Specific Personal Information
We do not collect or use Specific Personal Information, including Individual Numbers (My Number), except as required under the Act on the
Use of Numbers to Identify a Specific Individual in Administrative Procedures.
Where the submission of an Individual Number is required for insurance claims, pension procedures, or other statutory purposes,
customers will be instructed directly by the relevant insurance company.
6. Transfer of Personal Information to Third Parties
(1) Personal Information of Customers Applying for Travel
By applying for travel arrangements through us, you consent to the transfer of your personal information to third parties for the
following purposes:
① Arrangement of Travel Services
We may provide your name, address, contact details, and other information necessary for arranging your travel to transportation
providers, accommodation providers, insurance companies, souvenir shops, and other travel service providers by electronic or other
appropriate means. Such information will be used solely to arrange the travel services you have requested and to facilitate your receipt
of those services.
② Performance of the Travel Contract
To fulfill our contractual obligations and to secure coverage for liabilities or expenses arising from travel-related incidents, we may
provide your personal information, including your name, gender, age, address, passport number, and other necessary information, to
transportation providers, accommodation providers, insurance companies, and travel arrangement service providers.
③ Inspection Tours, Technical Visits, and Conferences
Where necessary to arrange or facilitate inspection tours, technical visits, meetings, conferences, or similar programs included in your
itinerary, we may provide your name and other information required for participation to the host organization, venue, or event organizer
by electronic or other appropriate means.
Please note that, in certain cases, the provision of such personal information to the organizer may be a condition of participation in
the relevant program.
④ Marketing by Group Companies and Business Partners
We may provide your name, address, telephone number, and other contact information to our group companies or business partners for the
purpose of informing you about travel products, services, promotional campaigns, and events offered by them.
⑤ Credit Card Payment Processing
If you choose to pay by credit card, we will provide your credit card information, including the cardholder’s name, card number,
expiration date, and other information necessary for payment processing, to the relevant credit card company or payment service
provider.
⑥ Other Legally Permitted Disclosures
We may provide your personal information where:
- Such disclosure is necessary in connection with the entrustment of processing described in Section 7 of this Privacy Policy; or
- Disclosure is required by applicable laws, regulations, ordinances, or requests from competent governmental authorities.
(2) Personal Information of Customers Using the “Satokuru” Mail-Order Service
① Shipment of Products
We may provide the information necessary for arranging and delivering the products you have ordered to the supplier, shipping company,
or other delivery service provider.
② Credit Card Payment Processing
If you choose to pay by credit card, we will provide your credit card information to the relevant credit card company or payment service
provider solely for payment processing purposes.
③ Other Legally Permitted Disclosures
We may provide your personal information where:
- Such disclosure is necessary in connection with the entrustment of processing described in Section 7; or
- Disclosure is required by applicable laws, regulations, ordinances, or requests from competent governmental authorities.
(3) Personal Information of Job Seekers Participating in the Agriculture and Welfare Collaboration
Program
Where necessary for recruitment purposes, we may provide the personal information of job seekers to prospective employers participating
in the Agriculture and Welfare Collaboration Program.
7. Entrustment of the Processing of Personal Information
To achieve the purposes described in this Privacy Policy, we may entrust the processing of personal information to carefully selected
service providers within the scope necessary for the performance of our business.
When outsourcing the processing of personal information, we select service providers that maintain appropriate standards for the
protection of personal information. We also enter into appropriate contractual arrangements, including confidentiality obligations, and
exercise the necessary supervision to ensure that personal information is handled securely and appropriately.
8. Transfer of Personal Information to Third Parties Located Outside Japan
In connection with the travel services requested by customers, we may transfer personal information to transportation providers,
accommodation providers, tour operators, service providers, or other third parties located outside Japan, where such transfer is
necessary to arrange travel services or to achieve the purposes described in Section 3, “Purposes of Use of Personal Information.”
Before transferring personal information, we will inform customers of the country or region to which their personal information will be
transferred.
(1) Countries or Regions to Which Personal Information May Be Transferred
Information regarding the destination country or region will be provided through one or more of the following methods:
- Verbal explanation;
- Travel brochures;
- Travel Terms and Conditions documents;
- Written notices;
- Our website; or
- Electronic communications, including email.
(2) Overview of the Personal Information Protection System of the Destination Country or Region
Please refer to the separate document entitled “Overview of Personal Information Protection Systems in Foreign Countries and Regions.”
(3) Measures Implemented by Overseas Service Providers
Where personal information is transferred to a service provider or other third party located outside Japan, we may require such
recipient to implement appropriate safeguards for the protection of personal information through contractual arrangements or other
appropriate measures before transferring personal information.
9. Consent Regarding the Overseas Transfer of Personal Information for Credit Card Payment Processing
In cases where customers choose to pay by credit card, personal information collected by us may be provided to the relevant card issuer
for the purpose of fraud detection, fraud prevention, and payment authorization.
If the customer’s card issuer is located outside Japan, the personal information may be transferred to the country or region in which
the card issuer is located.
Because we are unable to determine the country or region in which the customer’s card issuer is located based solely on the information
collected by us, we are unable to provide the following information in advance as required under applicable laws:
- The name of the country or region in which the card issuer is located;
- Information regarding the personal information protection system of that country or region; and
- Information regarding the measures implemented by the card issuer for the protection of personal information.

the Personal Information Protection Commission (PPC) of Japan.
By choosing to pay by credit card, customers acknowledge and consent to the overseas transfer of their personal information as described
above.
10. Requests Regarding Personal Information
Customers may request notification of the purposes of use, access to, disclosure of, correction, addition, deletion, suspension of use,
erasure of, or cessation of the transfer of their personal information to third parties, as well as the disclosure of records relating
to such transfers, with respect to personal information held by us.
Upon receiving such a request, we will provide information regarding the necessary procedures and respond promptly in accordance with
applicable laws, regulations, and our internal rules.
If we are unable to comply with all or part of a request, we will explain the reasons to the customer.
(1) Procedures for Submitting Requests
Customers wishing to submit a request concerning their personal information should obtain our prescribed request form entitled “Request
Form for Disclosure of Personal Information” from the office where the travel application was submitted or from the Personal Information
Inquiry Desk.
The completed request form, together with the documents necessary to verify the identity of the applicant, should be submitted to us in
accordance with the prescribed procedures.
A handling fee of JPY 550 will be charged for each request for disclosure of personal information or notification of the purposes of
use.
Any postage or other delivery costs incurred in submitting the request shall be borne by the applicant.

(2) Personal Information Inquiry Desk
For inquiries, complaints, requests regarding personal information, requests for suspension of transfers to third parties, requests for

We appoint a Personal Information Manager within each department.
These managers are responsible for supervising the handling of personal information within their respective departments, ensuring
compliance with our Personal Information Protection Policy and related internal rules, and maintaining appropriate reporting procedures
in the event of a security incident.
(3) Organizational Security Measures
We maintain an appropriate organizational framework for handling personal data.
This includes:
- Establishing internal responsibilities;
- Monitoring the handling of personal data;
- Maintaining procedures for responding to data breaches; and
- Periodically reviewing our security measures.
(4) Human Security Measures
We provide regular education and training to our officers and employees regarding the appropriate handling of personal data and
compliance with our internal rules.
We also require employees to execute confidentiality agreements covering the protection of personal information.
(5) Physical Security Measures
We implement appropriate physical safeguards, including:
- Controlling access to areas where personal data is handled;
- Preventing theft or loss of equipment and storage media;
- Protecting personal data when portable devices or storage media are transported; and
- Securely deleting personal data and disposing of equipment and storage media.
