Personal Information Protection Policy

We, NOKYO TOURIST CORPORATION (hereinafter, "Ntour", "We", "Our Company", etc."), have enacted the following personal information protection policy based on our corporate philosophy as a travel agency engaged in the travel business based on the Travel Agency Act. All of our employees will work to implement and continuously improve the proper handling of personal information of our customers and business partners, etc.

1. Proper Handling of Personal Information

We will clarify our purpose of use of your personal information and will collect personal information within the scope of that purpose of use. Our use of your personal information shall not deviate from said purpose of use.
We will carefully manage your personal information and will not disclose or provide your personal data to any third party other than yourself without your consent.
Furthermore, we will never use your specific personal information beyond the scope of the purpose of use nor provide such information to any third party, regardless of whether or not you have provided your consent to the same, except in the specific cases prescribed in the "Act on the Use of Numbers to Identify a Specific Individual in Administrative Procedures" (hereinafter, the "Act on the Use of Numbers").
We will respond to your complaints and enquiries concerning personal information in a prompt and appropriate manner and will strive to develop the necessary internal structure to that end.

2. Compliance with Laws Concerning the Protection of Personal Information

We will handle your personal information in compliance with the applicable laws, ordinances and norms and handle your specific personal information in compliance with the "Act on the Use of Numbers" and the "Guidelines for the Proper Handling of Specific Personal Information".

3.Personal Information Safety Management Measures

We will endeavor to ensure that the content of your personal information we handle within the scope of the purpose of use is accurate and up to date.
We will also take the necessary safety management measures including appropriate measures to prevent the unauthorized access to and loss, destruction, tampering and leakage of your personal information.

①Personal information of tour applicants

Our company and our trustee travel agents will use the personal information submitted by a customer when applying for a tour within the scope necessary to arrange services to be provided by transportation and accommodation agencies, insurance companies and souvenir shops, etc. during the trip for which the customer has applied and to complete procedures to facilitate the customer's receipt of those services as well as for correspondence with the customer.
*We may also use a tour applicant's personal information:
・In order to provide information about Ntour and affiliate products, services, events and campaigns
・To ask the customer's impressions and request feedback after a tour
・To request the customer participate in questionnaires
・To provide the customer with special benefits
・For the creation of statistical data
・When we have deemed it necessary to contact various related parties either in Japan or overseas in the event the customer has suffered injury or illness during the tour

②Personal information of "SATOKURU" mail-order sales customers

We will use the personal information of "SATOKURU" mail-order sales customers within the scope necessary to achieve the following purpose of use based on the Act on the Protection of Personal Information (Act No. 57 of May 30, 2003; hereinafter, "the Act")

  • To ship products and to provide after-sales service in relation to products and services
  • To provide information about "SATOKURU" products and services, etc. and the holding of various events and campaigns, etc. via e-mail, telephone or printed media
  • To conduct questionnaires for the purpose of improving services to customers
  • To answer questions and respond to feedback about our store

③Personal information of customers obtained through the "Enquiries" pages of each website

We will use the personal information of customers obtained through the "Enquiries" pages of each website within the scope necessary to confirm and respond to customer enquiries.
It should be noted that requests pertaining to the personal information described above may be made pursuant to the provisions of "6. Request for the disclosure, etc. of Personal information".

(2) Personal information obtained in methods other than prescribed in (1)

①Tour participant information listed in the list of participants, etc. acquired from the group representative

We will use aforementioned tour participant information for the purpose of use stated in (1)① above.

4. Provision of Personal Information

(1) Personal information of tour applicants

Customers are requested to submit a tour application after acknowledging that we may provide their personal information to a third party for the following purposes

① We will provide the customer's name, address and contact details to transportation and accommodation agencies, insurance companies and souvenir shops, etc. via an electronic means, etc. within the scope necessary to arrange services (transportation and accommodation agencies, etc.) during the trip for which the customer has applied, to complete procedures to facilitate the customer's receipt of those services and for the customer's shopping convenience at souvenir shops at the destination.

② We will provide the customer's personal information (name, gender, age, address and passport number, etc.) to transportation and accommodation agencies, insurance companies and our agents via an electronic means within the scope necessary to secure the customer's obligations under the Ntour travel agreement as well as expenses in the case of an accident, etc.

③ We may provide the customer's personal information (the customer's name and any other matters relating to the inspections/study tours and conferences in which the customer will participate) to the inspection site and/or study tour/conference organizer via an electronic means, etc. in order to arrange the inspections/study tours and conference reservations at the customer's destination and/or for the convenience of the same. (Note that the provision of personal information to the study tour/conference organizer may be a condition of travel.)

④ We may provide the customer's personal information (name, address, phone number, etc.) to our group companies or affiliates via an electronic means, etc. in order to facilitate the provision of information about the travel products and services, campaigns and events, etc. of our group companies or affiliates to the customer.

⑤ We will provide the customer's credit card information (card holder, card number and expiration date, etc.) to the credit card company in order to process payment when the customer seeks to pay the tour fee, etc. by credit card.

⑥ We will provide the customer's personal information pursuant to the provisions of "5. Entrusting of personal information" or when we have been subjected to a "demand based on laws and ordinances or issued by the competent authorities".

(2) Personal information of "SATOKURU" mail-order sales customers

① We will provide the information of the customer necessary for arranging and shipping the product(s) ordered by the customer to the shipper and the delivery company via an electronic means, etc.

② We will provide the customer's credit card information (card holder, card number and expiration date, etc.) to the credit card company in order to process payment when the customer seeks make payment by credit card.

③ We will provide the customer's personal information pursuant to the provisions of "5. Entrusting of personal information" or when we have been subjected to a "demand based on laws and ordinances or issued by the competent authorities".

5. Entrusting of personal information

We may entrust the handling of personal information that we have acquired within the scope necessary to achieve the purpose of use. We will entrust personal information only to companies that we have identified as sufficiently meeting personal information protection standards and with whom we have concluded a non-disclosure agreement in this case.

6. Request for the disclosure, etc. of personal information

If you want to request our company to notify you of the purpose of use of your personal information, disclose the content of your personal information held by our company, correct, make additions to or delete such content, cease using your personal information or discard your personal information (hereinafter collectively referred to as requests for "Disclosure, etc."), or to cease providing your personal information to third parties, then please contact either the Ntour store to which you submitted your travel application or the Personal Information Consultation Service listed below to receive guidance on the necessary procedures. We will take the necessary measures in accordance with laws, ordinances and our company regulations without delay after receiving your request. We will also provide you with an explanation in the event we are unable to comply with your request in whole or in part.

To submit a request for Disclosure, etc., please obtain our designated request form ("Request for the disclosure, etc. of personal information") from either the Ntour store to which you submitted your travel application or the Personal Information Consultation Service below, fill in the necessary information, and submit the form to our company together with your identity verification documents.
Please note that a prescribed fee will be charged for requests to notify you of the purpose of use of your personal information or to disclose the content of your personal information held by our company.
Please contact the personal information administrator of the Ntour store to which you submitted your travel application or the Personal Information Consultation Service listed below for further details.

(2) Point of contact for enquiries and complaints, etc. concerning the handling of personal information

Please direct enquiries and complaints concerning the handling of personal information, requests for the Disclosure, etc. of your personal information and requests to cease the provision of your personal information to third parties, etc. either to the personal information administrator of the Ntour store to which you submitted your travel application or the Personal Information Consultation Service listed below

8. Website security

If we will acquire your personal information from our Ntour website, we will transmit and receive the information utilizing encryption as well as take measures to prevent unauthorized access and ensure your personal information is not leaked.

9. Measures in the event of personal information leakage

We will immediately take the appropriate measures such as interrupting our systems until safety is secured in the unlikely event we have experienced a personal information leakage incident or the like. In this case, we will promptly notify you of the situation as well as post the facts on our website, etc. as necessary.
